Organising contacts with tags and lists

Use tags and lists to group your contacts, apply them one by one or in bulk, and message a group.

Tags and lists are two ways to group contacts so you can find and message the right people. This article explains the difference, how to apply them to one contact or many at once, and how to use them when you message. To manage the contacts themselves, see Creating and managing contacts.

Tags versus lists

Both group contacts, but they work differently:

  • Tags are free-text labels you type onto a contact, such as vip or melbourne. There is no setup: you create a tag just by typing it. A contact can have any number of tags, and each tag can be up to 50 characters.

  • Lists are named groups you create and manage separately, such as Newsletter or Q3 leads. You add contacts to a list, and a contact can belong to any number of lists. Lists are shared with everyone in your workspace.

Tip: Reach for tags for quick, ad-hoc labelling, and lists when you want a stable named group to message or manage over time.

Tag or list a single contact

Open a contact's edit panel by selecting its name or avatar in the Contacts table. You can also open it from the contact info panel inside a conversation.

  • In the Tags field, start typing to reuse an existing tag, or type a new one to create it on the spot.

  • In the Lists field, tick the lists this contact should belong to.

There is no Save button. Tags save when you click away, and list changes save as soon as you tick or untick them.

Tag or list many contacts at once

To organise a group in one go, work from the Contacts table:

  1. Tick the checkbox on each contact you want, or use Select all to take every contact that matches your current search and filters.

  2. In the banner that appears, open the Actions dropdown.

  3. Choose Add tags, Remove tags, Add to list, or Remove from list, then pick the tags or lists to apply.

Adding is additive: Add to list and Add tags leave each contact's existing lists and tags in place and just add the new ones. Remove from list and Remove tags take away only the ones you choose.

Tip: Filter the table first, then Select all, to tag or list exactly the contacts you care about without ticking each row.

Create and manage lists

Open Contact Lists to see every list in your workspace.

  • Select Add New List to create one. Give it a name, and a description if it helps your team know what it is for.

  • Use a list's action menu to rename, edit, or delete it.

Lists are shared, so anyone in your workspace can see and use them.

Use tags and lists when messaging

Inside a conversation, the contact info panel shows the same Tags and Lists fields as the edit panel, so you can label or group a contact without leaving the chat. Changes save immediately and show up everywhere else straight away.

Tags and lists also help you find the right people: filter the Contacts table by tag or list to pull up a group, then start messaging from there.
